Dental Support Network Pty Ltd (ACN 702 836 780) (“we”, “us” and “our”) respects your privacy. This policy explains how we handle personal information collected through dentalsupportnetwork.com.au and related enquiries from dental practice representatives.

This policy applies to our business-to-business website only. It does not cover the separate Dental Match consumer website, patient enquiries or patient referral operations, which require separate privacy information.

2. Personal information we collect

When you book a discovery call through Cal.com, we collect your name, email address, chosen appointment time and any additional details requested in the booking form. Enquiry forms may also request your dental practice name and suburb or postcode. We may also collect the information you provide in follow-up emails, calls or other communications with us.

When you browse our website, we may collect website usage and technical information such as pages visited, traffic sources, interactions, device and browser details, and IP address, depending on the website analytics configuration.

Please do not submit patient records, clinical information or other sensitive personal information through the B2B enquiry form.

3. How we collect and use information

We collect information directly when you book a call, complete a form or communicate with us, and automatically through website analytics when enabled.

We use information to respond to enquiries; schedule discovery calls; understand the services, location and needs of your practice; assess whether our services are suitable; establish and manage commercial relationships; administer our CRM; measure and improve website performance; and meet legal obligations.

We may also contact you about our services where permitted by law. You can opt out of marketing communications at any time by using an unsubscribe mechanism (where provided) or contacting us.

4. CRM and service providers

We plan to store business enquiry and booking details in Attio, our customer relationship management (CRM) system. The website integration is not yet connected. Once connected, those details may be accessible to people authorised to manage our business enquiries.

We use Cal.com to provide the embedded booking calendar. You choose an available appointment time before entering your contact details. Cal.com processes booking details to schedule the call, send confirmations and support appointment changes. We may disclose relevant information to providers who support our website hosting, email, CRM, analytics, communications and other business operations, and to advisers or authorities where required or permitted by law.

We do not sell the business contact details submitted through our B2B enquiry form.

5. Website analytics — PostHog

We plan to use PostHog to understand visitor activity and improve our website. PostHog is not yet enabled on this website. PostHog may process information about page views, referring sources, device and browser characteristics, and interactions with website features.

Our PostHog project is hosted in the United States. The precise information collected and use of cookies or similar technologies depends on the analytics settings we enable.

We aim to avoid collecting the contents of enquiry forms in analytics. Our website configuration should be checked to ensure this is implemented.

Our planned use of PostHog involves processing website analytics information in the United States. Cal.com, Attio and other service providers may also use overseas infrastructure or subprocessors. The applicable overseas locations depend on the providers’ current arrangements and our account configurations.

Where required under applicable Australian privacy laws, we take reasonable steps in connection with overseas disclosure of personal information. We will update this policy if our processing arrangements materially change.

7. Security and retention

We take reasonable steps to protect personal information against misuse, interference, loss, and unauthorised access, modification or disclosure.

We keep information for as long as it is reasonably needed for the purposes described in this policy or to meet legal requirements, and take reasonable steps to securely delete or de-identify it when it is no longer required.
